    • Amy wonders if we can get some best practices for gathering info on who is using Notebook LM and PlayLab, and other tools and maybe we can get some groups going. Gaby thinks she can send out a quick survey.

    Quick Notes

    • RSI/Accessibility J1 Guides Approved
      • Huzzah!
      • Some people had concerns about captioning videos and accessibility. If anyone shares concerns with you gently remind them that accessibility is not new and there are lots of resources for it.
      • No one really had any issues with the guides.
    • Playlab training
      • We all have Playlab now! There are lots of trainings available for it.
      • Summer might be a good time to do some trainings.
      • A group went through Playlab trainings in Fall and Winter (Simon, Amy, a couple other folks) if we want to put together a Train the Trainer in June. Then in the Fall we could have our own Playlab cohort.
      • There’s a training coming up this Wednesday and the following Wednesdays. There are also asynch options available.
      • If you’re interested, sign up; and we can put out a call to get a little group together.
    • Agentic AI Changemakers Survey
      • The state is trying to get its own cohort together on Agentic AI but they need responses.
      • Please fill out the survey if you haven’t already.
    • Cal State AI Survey
      • Eric shared this. “CSU polled more than 94,000 students, faculty and staff, making it the largest survey of AI perception in higher education.”
      • It's an interesting read and will probably be referred to by Senate.
    • Reclaiming Joy Agentic AI 4/17
      • This is a CCC conference this Friday.
      • Foothill is hosting an in-person watch party.

    Requests to Add People into Canvas 

    • We needed a better system to track who is in Canvas courses aside from students and instructors as there have been a couple of issues in the past with outsiders in class.
    • This new process is meant to protect students’ privacy and document things better.
    • This is not to request evaluators as that is part of the J1 process.
    • It will take a little getting used to, but it’s not a huge change in the process – it's just a form instead of an email.
    • Lianna suggests that #12 was a bit confusing and should be clarified as *Canvas* role.
    • We can think about adding the permissions table.
    • Amy has been getting a lot of requests from DSS for notetakers in online asynch classes. This is a question to bring to the team about whether this is an ADA requirement. Sri would know.
    • Notetaker isn’t a role in Canvas, so we can maybe edit #12 to say “Observer (such as Notetaker)” 

    Accessibility Guidance And Resources 

    • WebTeam put together a great page for digital accessibility requirements.
    • As questions come in, please share this page and have them schedule an appointment with an Instructional Designer if necessary.
    • Online Ed is working with Office of Communications, DSPS, and ETS to make handle different aspects of this and make sure that we’re doing all we can to be compliant. 
    • Some Deans are still requesting instructors to have a pdf of the syllabus in their Canvas, so it’d be great to have a conversation with the Deans about adjusting this and how we can have more accessible storage of syllabi.
    • We need to have a plan in place by April 24. It isn’t feasible to get everything remediated by the 24th.
    • Some students, especially using tablets, are having trouble accessing word docs and PowerPoint. The best solution is usually to format in html since that works best with screen readers and notetaking software. The goal is accessibility regardless of device; mobile accessibility is definitely a concern, and html can help with this. Instructional Designers can help with this.

    Proctoring Software 

    • We’ll have to wait another week for feedback because James got bumped from Senate.
    • Alison at Foothill said that they’ve divested all their funds from Proctoring in 2021 and it’s been dormant since.
    • ASCCC is strongly recommending that you don’t use proctoring software.
    • Online classes hosting in person exams has been a big issue for the equity office.
      • The COR needs to state the percentage of online content.
      • If an in person exam is required, then it must be communicated to the student; it cannot be a surprise.
    • Lianna brings up the fact that requests for lock-down browsers don’t seem to be addressed and it’s just being lumped in with the larger topic of proctoring systems.
      • Forced installation of software is still an issue.
    • Senate will vote on this and from there it will go to ETS to see what is feasible and what we can afford.
