    • Proctoring Update 
      • The proctoring discussion has been delayed until Fall
    • Membership Update for 26/27 
      • We’ll be losing and adding some members for the next academic year
      • Jacob and Lianna will not be returning
      • Thank you so much for all your hard work, Lianna, and for being here from the very beginning!
      • We will be adding LK to take on Lianna’s seat as well as Keri from the Library and Rachel from F/TV; their approvals are on the consent calendar
      • We’re not sure who, but there will be a new student rep for Fall
    • AI Work Group Update 
      • A few months ago, Marina put out a request to join an AI Work Group
      • Amy is up for confirmation, and it would be great to have Amy represent De Anza
      • There are 11 seats
      • There’s still availability for the program review one over the summer
    • Canvas Insights 
      • Next academic year, we’ll have a new way of tracking SLOs through Canvas
      • The implementation and training will tack some time
      • There will probably be two SLO coordinators and a long transition period
    • FERPA Guidelines for Merging Courses in Canvas 
      • The Online Ed team has already been relaying info about this to faculty with seeming success
      • Amy points out that earlier in the pandemic faculty were encouraged to merge, so we may have some confused or upset faculty wondering why they are no being told to merge with caution
      • The guidance doc is clear; we plan on adding that to the website
    • AI Survey Presentation 

    Support During Outage and Technical Guidance Doc (Draft) 

    • The Support document is great, but given faculty questions and response, there’s a need for technical guide
    • Thank you, Gaby and Lianna, for your comments
    • Let’s keep working on this over Summer so that we can finalize by Fall and post it on our website
    • The 2 most important backups are the course content (imscc file) and the gradebook
    • We can recommend backing up the gradebook after midterms or big projects, or just periodically throughout the quarter
    • Lianna wonders about OneDrive capacity; we currently have one terabyte, but backing up multiple courses in multiple ways could fill that up pretty quickly, especially if there is a lot of video content
      • We should ask ETS and the district about this 
      • TidyUp will be helpful in reducing unnecessary content
    • We should look into live websites
    • We’d need to consider RSI in the case of extended outages
      • Might be good to include some language around this, like “If Canvas were to go down, I will communicate via email/Pronto/etc”
    • Please leave any comments in the doc by the end of day

    COOL Yearly Review: Shared Governance Survey 

    • Accomplishments this year

    • Notes on the governance survey doc
      • Lianna points out the communication difficulties now that we’re on a village model
      • Amy suggests it might be good to add some specificity to the tools section and the demands/work creep being put in James and Gaby
      • This will be important to capture this for future asks about stipends
      • James has definitely noticed COOL taking up a larger percentage of his work time the past two quarters
      • Gaby notes that we should mention the response to Academic Senate demands
        • Amy adds that we should add that when Academic Senate makes demands, they need to also specify what those items should be prioritized over
      • Amy adds that we should identify and advocate for our budget needs, especially since things can get lost under basic aid
      • There is some invisible work in our department because even though we are Online Ed, many in person classes use Canvas as well
      • Maybe not for this document, but we should look into the process of SLOs – will requests for help be going to the SLO manager or the Online Ed team?
      • Amy motions to approve with some changes; Lianna seconds, Ivan thirds
      • Please work on edits by end of day and James will share it before submitting
