James welcomed everyone to the first Fall 2025 COOL meeting.
Approve Agenda and 6/9 Minutes
Agenda unanimously approved. Need to put a pin in approving the 6/9 minutes as the 6/9 meeting somehow got unpublished from the website

- RSI Training Update

- Still waiting on an MOU agreement from FA and District

- In terms of PGA transitioning to PD, this new training will in theory be adjusted for the new system either based on hours or payment; if you have questions on this contact hr@fhda.edu

- For anyone currently asking about training, they can take the existing Canvas training and then skip over some of those sections in the new training

- James is taking over signing the curriculum forms from Gaby

- Next week we’ll have a quick resolution that says James will be the new one signing off on curriculum forms so that the meetings will go a little bit smoother and the committee will have more time to focus on projects

- New membership is approved; we went from having 18 seats to 10

- Being on COOL is a great way to get to your next step
AI at De Anza
- We’re getting lots of inquiries about AI
- We’re hoping to have some kind of track system so that we can identify different subsets and point people for each, such as the Online Ed team focusing on AI Canvas tools and Amy focusing on PD workshops
- Looking forward to the new AI Fellow position
- Academic Senate would like a sample syllabus, so that’s something we could work on this quarter
- We’d also like to look at collaborating with Mallory and getting a student survey on AI up and running
Proctoring Software Update
- Last quarter we had some great discussions, but we didn’t approve anything
- Let’s look at the AS Resolution again and revisit it at the next meeting so that we can close that loop with Senate
- Reviewing that Resolution is our homework for next meeting
- Trudy is working on how to do procurement for AI, so Amy will reach out to them and see if we can get a draft about that
Harmonize Pilot
- The pilot has been extended for Fall because not many people participated during Summer
- Cheryl shows a tutorial on how to activate Harmonize: Course Menu > Navigate > scroll down to Harmonize > hit enable > got to Harmonize in the menu and hit authorize
- Make sure you fill out your profile to humanize it and hit the RSI goal
- In Assignments, choose Harmonize from the External Tools
- This tool is very powerful and has many layers, so start simple and go step by step
- We should send out some info ahead of time before the training
- The Harmonize discussions are a bit more like looking at a grid rather than a threaded design
- Milestones are confusing to the students, so it needs to be made very clear to students when the assignments are due
- Amy does not recommend doing the breaking up of points unless doing a specific announcement about that because it confuses students and will result in lots of emails from students asking why they don’t have all the points
- It would be great if we could get some more feedback on this before November 11, especially from faculty with students
- Cheryl and Shawn will be having a training the second week of October
- The end goal is to decide as a committee if we recommend to the campus that we purchase this tool
- Foothill did end up moving forward with Harmonize
- Some feedback from faculty on Opening Day was that faculty would like a way for students to make video posts, so this tool would be a good way to do that
